Placing an Order

Images of artwork in the collection of Columbus Museum of Art are available for approved uses. All requests for images and permissions must be submitted in writing to the Registrar’s Office by letter, e-mail, or fax. Any image used for reproduction must be obtained from our Registrar’s Office.

Please describe the image that you are requesting by title and artist and specify the format in which you wish to receive the image: black-and-white print or color transparency. Digital images are currently available for a small portion of the collection. Please fully describe the purpose(s) for which you will be using the image: e.g. study, in book text, exhibition catalogue, cover art for a publication, scholarly journal and so forth. For publications, include the publisher, title, author, publication date, print run, languages, and distribution. Please indicate any deadline and date by which the image is needed, your email and full mailing address.

Contract and Payment

You will receive an e-mail response stating the total fee for your request, based on our Fee Schedule. A contract and invoice will be mailed to you. By signing and returning the contract with payment, you agree to the terms of the contract and to the museum’s Conditions For Reproduction.

Prepayment is required. Checks should be in U.S. dollars and made payable to Columbus Museum of Art. Credit card numbers may be faxed or telephoned directly to our Finance Department. Upon receipt of payment and the signed contract, we will send the photographic materials.

Filling Orders

Materials are usually sent within two weeks after receipt of payment and signed contract. If the paperwork and receipt of materials must be completed within two weeks, please let us know so we may expedite the order, which incurs an appropriate rush fee. Please inform the Registrar’s Office if a deadline is approaching.

Available Images

Although a significant portion of the Museum’s collection has been photographed, images for some works are not readily available. In such instances, you will be notified and given the option to request new photography for an additional fee. New photography usually requires six to eight weeks to complete and prepayment is required. Occasionally, we may also need to duplicate a transparency before your request can be filled.

Returning the Image

Materials must be returned within three months of the date received. If an extension is needed, please let the Registrar’s Office know your timeline and your request for extension will be taken into consideration. A charge equal to the replacement cost ($100) will be made for any transparency not returned within three months or returned in damaged condition. Under no circumstances may color transparencies be duplicated.
