Senior Director of Finance

Position Summary:
As the Senior Director of Finance, you will oversee the museum’s accounting and finance operations daily. This pivotal role encompasses a spectrum of duties, including budgeting, financial planning, accounting, grant management, compliance, and reporting activities. Your primary responsibilities entail guaranteeing precise accounting practices in accordance with GAAP standards, establishing and maintaining a comprehensive internal control framework, and providing timely and accurate financial analysis and reporting. Integral to this position is the preservation of institutional financial standards through collaborative efforts with all tiers of staff.

Duties and Responsibilities:
Financial and Strategic Planning
• Manage cash flow, optimize the use of investable funds, and oversee the organization’s endowment funds to support sustainable financial growth.
• Monitor departmental key performance indicators (KPIs) and provide strategic guidance to improve financial performance and operational efficiency.
• Prepare and deliver timely and accurate financial reports in compliance with GAAP, providing valuable insights to management, the board of trustees, and grant-making organizations.
• Conduct ad-hoc financial analysis and provide operational insights to support organizational goals and objectives.
• Collaborate with the Deputy Director for Finance and Administration to prepare financial information for board meetings, senior leadership discussions, and committee presentations.
• Lead the annual budgeting process in coordination with cross-departmental teams, monitoring variances and providing meaningful analysis to inform decision-making.

Accounting and Compliance
• Develop, refine, and enforce accounting policies, procedures, and internal controls in accordance with Generally Accepted Accounting Principles (GAAP), fostering a culture of financial integrity and accountability.
• Coordinate and facilitate the annual audit process, ensuring seamless collaboration with external auditors and internal stakeholders.
• Oversee the preparation and submission of annual tax returns, including IRS form 990 and 990-T, and other regulatory filings.

Leadership
• Lead and manage the day-to-day operations of the Finance department, providing mentorship, supervision, training, and development to ensure departmental objectives are met.
• Administer and optimize financial databases and accounting systems to enhance efficiency and accuracy in financial reporting.
• Collaborate cross-departmental to recommend best practices and software solutions.
• Fulfill other duties and responsibilities as needed to support the museum’s overall mission.

Education and Experience
• Minimum of BA or BS in accounting, finance, or business administration; CPA and/or MBA preferred.
• Minimum of five years of progressive experience in accounting or finance leadership roles, preferably in the nonprofit sector.
• Hands-on leadership style with a collaborative and participative approach to management.
• Ability to thrive in a dynamic and inclusive work environment, demonstrating adaptability and flexibility.
• Proficiency in accounting software and Microsoft Office suite; experience with Blackbaud Financial Edge NXT is advantageous.
• Strong understanding of nonprofit accounting principles and regulations.

Safety and Security Supervisor (1st, 2nd & 3rd shift)

Position Summary:
The Safety and Security Supervisor provides leadership in supporting CMA policies and procedures to ensure the safety of people and security of museum property. This position monitors safety and security through computer-based programs, on foot patrols of the property, and radio and phone communications. This role works primarily with the Safety and Security team, but also will work with the Visitor Experience Team and other departments in the Museum. This position is expected to adhere to team policies and expected to collaborate with other supervisors at certain times. The Safety and Security Supervisor ensures the highest level of safety, security, and confidentiality for CMA.

Duties and Responsibilities:
• Directly responsible for the physical safety and security of museum property and the people on it.
• Must be able to manage stress in emergency or unknown situations and react calmly, professionally, and appropriately according to museum policies and procedures, with the ability to be flexible and adapt to changing priorities.
• Perform regularly scheduled inspections of CMA properties including the galleries, exterior and interior doors, locks, lights, maintenance and IT equipment, public and private spaces. Promptly report and document any safety hazards, suspicious activity, concerns, or damage in accordance with the museum’s safety polices and protocols.
• Maintain security of the artwork and communicate with Collections and Exhibitions Department when there is any damaged or altered artwork in the building. • • Fill out a detailed incident report as well.
• Maintain situational awareness of facility and those present, ability to respond accordingly while maintaining security protocols.
• Serve as the first responder for incidents including injuries, all emergency situations including evacuations, harbor in place, and de-escalation, and more.
• Filling out accurate and timely incident reports and communicate with the right staff/ department for each of these reports.
• Monitor fire panel and responding to alarms, following CMA emergency procedures, while communicating this information to our facilities department.
• Check for appropriate temperature and humidity levels as indicated by facilities and curatorial to ensure the safety of the art.
• Manage and monitor building access points including monitoring all security computer-based access control systems, CCTV systems, alarms, doors, keys, badges and receiving and inspecting of deliveries.
• Maintain an up-to-date and accurate log of activities; report activity that requires immediate attention in accordance with CMA policies, communicate logs prior to shift change with other supervisors.
• Ensure all staff, visitors, and vendors are registered properly before entering secure areas of the property.
• Ensure that visitors/contractors, vendors comply with museum policies by proactively communicating those policies in a direct, friendly, and respectful manner.
• Respect boundaries and personal space, thoughtfully monitor body language and facial expression, and always communicate in a respectful and professional manner.
• Participate in and lead regular professional development workshops about museum security procedures, CMA philosophies, learning, visitor engagement and conversational strategies, professional behavior, customer service, and art and exhibition content.
• Communicate and collaborate regularly with colleagues to improve team effectiveness.
• Maintain standards in matters of appearance, attitude, and performance.
• Additional responsibilities may be assigned according to museum needs, individual skill, and interest.
• Ensure AMAG system alarms, doors, and badges are correctly secured in the system.
• Make certain all cameras are functioning properly each shift and contacting IT for assistance.

 

Facilities Support Supervisor

Position Summary:
The Facilities Support Supervisor supervises and coordinates activities of facilities staff to ensure that museum buildings and grounds are maintained in a clean, safe, and orderly condition. Supervises the training and ongoing performance of facilities support staff in janitorial methods and procedures and proper operation of equipment. This position is responsible for oversight of daily cleaning duties as well as special cleaning projects. Inspects work performed to ensure performance to specifications and established standards. Notifies Facilities Operations Manager of needed repairs. Assists with cleaning snow or debris from sidewalks and parking surfaces.

Duties and Responsibilities:
• Manage employee time sheets.
• Report excessive employee absences or deficiencies to the Facilities Support Manager.
• Supervise training of Facilities Support Staff, including understanding of museum procedures, proper use of chemicals, and special procedures for cleaning in and around galleries where art is displayed.
• Guide, direct, and motivate facilities staff members, including setting performance standards and monitoring performance.
• Oversee cleaning of all museum facilities including sweeping, vacuuming, mopping, dusting, shampooing, steam cleaning, striping, waxing, polishing and buffing floors, carpets, and furniture.
• Ensure waste is properly placed in dumpster and/or recycling bins.
• Ensure all restrooms are cleaned, sanitized, and replenished with supplies.
• Respond to spills or other housekeeping emergencies as required.
• Oversee cleaning of drinking fountains, mirrors, tables, walls, fixtures, blinds, light fixtures, windows, metal, and woodwork.
• Direct personnel in picking up litter from around building and grounds daily.
• Perform corrective or remedial duties as necessary.
• Perform fill-in or substitute duties as necessary, which include but are not limited to evening events.
• Assist Facilities Support Staff in opening and closing of the Museum, and with the upkeep of the building.
• Inspect and maintain custodial equipment and small tools for proper operating condition.
• Receive and maintain inventory of cleaning chemicals and supplies.
• Report product that is needed to Facilities Operations Manager.
• Maintain a moderate degree of public contact.
• Use excellent customer service skills.
• Establish and maintain effective working relationships with other staff, trustees, donors, volunteers, and all members of the general public.
• Attendance at work is an essential function of this position.
• Comply with all applicable safety rules, regulations, standards, and emergency procedures, including OSHA, federal, state, and local security techniques, and standards.
• Continuously assess safety conditions to ensure individual and workplace safety, and safety of visitors and staff.
• Other duties as assigned.
